# Set Up and Publish Your School Calendar

> Enable the School Calendar module, create your first calendar, add events, and share iCal links with parents and staff in Clever School Systems.

Follow the steps below to enable the School Calendar module, build your first calendar, and share it with your school community.

<Note>Initial setup requires Administrator access.</Note>

## Quick Start

    Go to **Administration > Modules** and enable **School Calendar**.

  <Step title="Assign a Calendar Manager">
    Go to **Administration > Users** and assign the Calendar Manager role to the appropriate member of staff.

  <Step title="Open the module">
    Reload the page and select **School Calendar** from the sidebar.
  </Step>

  <Step title="Create a calendar">
    Create a calendar for the current academic year. Add subsections if needed — for example, **All Staff**, **Parents**, and **Governors** — to control exactly what each audience can see.

  <Step title="Add events">
    Add dates, titles, descriptions, and any relevant details for each event.
  </Step>

  <Step title="Publish">
    Publish the calendar and share the iCal link with your intended audience.

## Sharing Calendars via iCal

Each published calendar and each subsection within it has its own unique iCal feed URL. Copy the URL from the calendar's share options and distribute it to your audience — for example in a newsletter, by email, or on your school website.

Parents and staff can add the URL to their preferred calendar app:

* **Google Calendar:** Open Settings, select **Add calendar**, then choose **From URL** and paste the link.
* **Apple Calendar:** Go to **File > New Calendar Subscription** and paste the link.
* **Outlook:** Choose **Add calendar > From internet** and paste the link.

Once subscribed, the calendar updates automatically — subscribers always see the latest events without you needing to re-send anything.

## Embedding the Calendar on Your Website

To display school events on your website, pass the iCal feed URL to your website developer or website provider. Most school website platforms can embed a live calendar feed by pointing to an iCal URL — your site will always show your current published events with no manual maintenance required.

## Rolling Forward to Next Year

At the end of the academic year, use the **Roll Forward** feature to copy events to the next year. Review and adjust dates as needed — saving you from recreating the calendar from scratch each time.

  Create separate subsections for different audiences so you can share just the relevant events with parents without exposing staff-only information.
