Follow the steps below to enable the Documents module, set up your document library, and start tracking staff read confirmations.
Initial setup requires Administrator access.

Quick Start

Enable the module

Go to Administration > Modules and enable Documents.

Assign a Documents Manager

Go to Administration > Users and assign the Documents Manager role to the appropriate member of staff.

Open the module

Reload the page and select Documents from the sidebar.

Create document groups

Set up categories to organise your library — for example, Policies, Guidance, and Handbooks.

Upload documents

Upload PDFs, Word documents, or link to external documents within the relevant group.

Assign to staff

Select the staff members who need to read and confirm each document. They will receive a notification automatically.

Monitoring Confirmations

From the Documents management panel, view a confirmation status summary for each document — see at a glance who has confirmed and who still needs to act. Send reminders directly to staff who haven’t confirmed yet. When you need to report, export or print confirmation records for governor evidence packs.
Start with your statutory policies and safeguarding documents — these are the most commonly required for read confirmation.
